Information for Exhibiting Artists

Preparing to Participate in the 2019 Fair

For those artists who were recently invited to exhibit, congratulations! We look forward to welcoming you to Madison’s most beloved summertime event this July. Prepare for a warm weekend filled with some 200,000 art enthusiasts; talented fellow artists; entertainment acts on three stages; and a delicious array of foods at dozens of convenient stands. Thank you for participating, we wish you every success.

Note: MMoCA is no longer accepting applications for the 2019 Art Fair on the Square. Artists are able to apply online, at zapplication.org, November through March 1 each year.

All 2019 invited artists have three required steps to complete:

  1. Submit the online registration form using the link in your notification email (EMERGING ARTISTS must download and submit the emerging artist version of this form by email at artfair@mmoca.org or mail)
  2. Pay for a booth space on Zapplication
  3. Submit the tax information form at www.mmoca.org/taxform

PRE-FAIR PACKET
Exhibiting artists will be sent a pre-fair packet of information along with a booth assignment in mid-June. If you are travelling and need to download a “generic sample packet” check back here in late June.

BOOTH FEE PAYMENT OPTIONS
Credit Card:
Payments should be made on Zapplication.org (A 10×10’ will be $560 total, and 10×20’ will be $1,095 total). If doubles are sold out on Zapp DO NOT purchase two single booths, this creates very complicated back-end issues.
Check (if paying before April 30): Mail your check using the print version of the Registration form.

Emerging artists must pay by check or by phone using this Emerging Artist form. Emerging artists may not pay on Zapplication. For questions about emerge block payments call (608) 257-0158 x 229 beginning April 1.

SCHEDULE

Set up hours:
Artists will be let onto the square from assigned entry streets beginning around 5:30-6:00pm on Friday, July 12. Set up continues throughout the night until 8:00am on Saturday, July 13.

Restocking:
Artists may restock with a vehicle starting at 6:45pm (or when foot traffic clears) on Saturday, July 13 throughout the night until 9:00 am on Sunday, July 14.

Fair hours:
Saturday, July 13, 2019 (9:00am – 6:00pm)
Sunday, July 14, 2019 (10:00am-5:00pm)

Tear down:
Artists may begin tear down at 5:00 pm on Sunday, July 14, 2019. All artists, artwork, booths and related materials must be off of the square by 9:30 pm.

SALES TAX / REQUIRED TAX FORM
Every artist that will have a booth at the fair needs to submit Wisconsin Temporary Event Operator/Seller information to MMoCA each year at www.mmoca.org/taxform.

  • If you already have a Wisconsin Tax Account Number (15-digits long and begins with “456”), you can simply fill out the online version of this form now at www.mmoca.org/taxform.
  • If you don’t have a Wisconsin Tax Account Number, visit www.revenue.wi.gov/html/tempsell.html or call the Wisconsin Department of Revenue at (608) 266-2776 to get one, so that you can fill out the online form for MMoCA later at www.mmoca.org/taxform.

PARKING
There are a variety of parking options located in the downtown area, see: City-operated parking map. The best option for artists—especially those travelling with large vehicles & RVs—would be the “Permitted Section” or ungated portion of the Brayton Lot, which will available via permit beginning in May.
